1. Who we are

The Gables of Ojai is a family-owned senior living community at 701 N Montgomery Street, Ojai, California 93023, licensed as a residential care facility for the elderly (RCFE License #56580055). We are responsible for the information collected through this website. We are also responsible for the inquiry information Meta provides to us after someone submits one of our Instant Forms on Facebook or Instagram. You can reach us by phone at (805) 646-1446 or by mail at the address above.

2. Information we collect

What you tell us

When you use our website tour form or a Gables of Ojai Instant Form on Facebook or Instagram, we may ask for:

  • Your name and phone number, and your email address if you choose to share it.
  • Whether the inquiry is for yourself or for someone else, and the name of the person we would be caring for if it is a loved one.
  • The type of care you are interested in, such as independent living, assisted living, memory care, or short-term respite care.
  • Any message you add, for example questions about pricing, availability, or preferred living options.
  • Confirmation that we may contact you, which we record along with the time you submitted the form.

Please do not submit diagnoses, medical records, insurance or payment information, or emergency information through a website or Meta form. Call 911 for an emergency.

What we collect automatically

When you browse this site, our advertising and measurement partner Meta (Facebook and Instagram) receives standard information about the visit, such as the pages you view, the site that referred you, your browser, device, and operating system, and an advertising identifier used to measure whether our ads are working. This happens through a tracking pixel on our homepage, described in section 5. Our other pages, including this one, do not load that pixel.

We also load our fonts from Google. Google’s servers see the request, which includes an IP address, in the ordinary course of delivering the font files.

Our website hosting and security providers, including Cloudflare, receive technical information such as an IP address, browser details, and request information to deliver the site, prevent abuse, and keep it available.

How you found us

If you arrived from an advertisement or a link that includes campaign details, we keep those details (for example the ad or article that referred you) with your inquiry so our team knows what question you arrived with.

Information from other sources

Meta provides us with the answers submitted through our Instant Forms, along with related form, campaign, ad set, and ad information. Meta handles information on its services under its own Privacy Policy. If you speak with us by phone, text, or in person, or if a family member or referral partner contacts us on your behalf, we may add those details to the same inquiry record.

3. How we use your information

  • To answer your question, arrange a tour, and prepare for your visit.
  • To contact you by phone, text, or email about the care you asked about.
  • To keep a record of what we discussed so whoever speaks with you has the context.
  • To understand whether our advertising is bringing us the right visitors.
  • To connect inquiries from our website and Meta Instant Forms with our lead database and Welcome Home Software so our team can follow up.
  • To meet the record-keeping and licensing obligations that apply to our community.
  • To keep this site secure and working.

We do not use your information to build a profile about you for unrelated purposes, and we do not send your information to third parties for their own marketing.

4. Who we share it with

  • Welcome Home Software, the resident-relationship platform where our inquiries and tour records are kept, so our team can follow up with you.
  • Supabase, which provides the private database used to back up inquiry records and record whether they were successfully sent to Welcome Home Software.
  • Meta (Facebook and Instagram), for the advertising measurement described in section 5, and to show our ads to people who may be interested in senior living.
  • Google, which hosts the fonts used on this site.
  • Website hosting and security providers, including Cloudflare and the platform used to deploy this website, which deliver the site and protect it from abuse.
  • Other service providers we have contracts with, such as companies that help us host, maintain, or support this website. They may only use your information to do the work we hired them for.
  • Professional and legal recipients, such as our advisors or regulators, when we are required by law or need to protect the rights, safety, or property of our community, residents, or visitors.
  • A successor, if our community is sold, transferred, or reorganized, in which case the records continue to be handled under this policy.

We do not sell your personal information, and we do not share your health information for advertising.

5. Cookies, pixels, and tracking

Our homepage loads a Meta pixel. A pixel is a small piece of code that lets an advertising platform see that a page was visited, and match that visit to a signed-in account for the purpose of measuring and improving ads. Meta and our hosting and security providers may use cookies, browser storage, or similar technologies. Cloudflare may use necessary security cookies, and Meta may use advertising identifiers. This site stores a privacy preference in your browser if you use the control below.

You have options:

  • Use the privacy control below to prevent the Meta pixel from loading on future visits in this browser.
  • Manage Meta’s own advertising settings through Meta’s advertising controls, or opt out of targeted advertising through the Digital Advertising Alliance.
  • Use your browser’s tracking-prevention, cookie, or private-browsing settings. This can limit pixels and cookies, though some parts of the site may behave differently.

When a supported browser communicates Global Privacy Control or has Do Not Track enabled, the landing page is configured not to load the Meta pixel. Your browser may still contact service providers needed to deliver and secure the site.

6. How long we keep your information

We keep an inquiry record for as long as it takes to respond to you and to support a potential move, and afterwards for as long as our licensing, accounting, and legal record-keeping obligations require. Records that are no longer needed are deleted or stripped of identifying details. If you ask us to remove your information sooner, we will do so unless we are required to keep it.

7. How we protect your information

Form submissions travel over an encrypted connection. Your inquiry is stored in a private database that is not open to the public, and access is limited to the small number of staff and vendors who need it to help you. Vendors who handle this information are bound by contract to protect it.

No method of storing or transmitting information is completely secure, so we cannot promise absolute safety. If we ever learn of a compromise of your information that changes the situation materially, we will tell you in a way the law requires.

8. Your privacy rights

You can ask us at any time to:

  • Tell you what personal information we hold about you.
  • Correct information that is wrong or out of date.
  • Delete information that is no longer needed.
  • Stop contacting you, in which case we will keep only the minimal record needed to respect that request.

Call (805) 646-1446 or write to us at the address below and tell us what you would like. We may ask you to confirm who you are, and if your request is about another person, to confirm that you are entitled to act for them, so that we do not disclose or delete the wrong record. We do not charge for these requests, and we aim to answer within 30 days.

Our services are for adults, and this site is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has sent us information, tell us and we will remove it.

9. California residents

If the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies to us, then as a California resident you have the right to know what personal information we collect and disclose, to request access to it, to ask that inaccurate information be corrected, to request deletion, to limit the use of sensitive personal information, and to not be discriminated against for exercising these rights, for example by receiving a worse level of service.

We do not sell personal information. As described in section 5, the Meta pixel on our homepage may be treated under California law as “sharing” for cross-context behavioral advertising. You can opt out using the privacy control in section 5, a supported Global Privacy Control signal, or Meta’s advertising controls. We do not knowingly sell or share information belonging to anyone under 16.

If you believe your California privacy rights have been violated, you may submit a complaint to the California Privacy Protection Agency or the California Attorney General’s office.

10. Changes to this policy

We may update this policy as our services, partners, or the law change. The date at the top shows when it was last revised. If a change materially affects how we handle your information, we will point it out on the website.
